Checking in visitors is one of the most frequent actions in VisiConnect. A smooth check-in experience creates a positive first impression and ensures accurate tracking of visitor attendance.

Accessing the Check-in Panel

Open the check-in panel by:

  • Clicking the Check-in button in the top navigation bar.
  • Using the keyboard shortcut Ctrl+I (or Cmd+I on Mac).
  • Clicking + Check-in from the dashboard quick actions.

Step-by-Step Check-in Process

Step 1: Search for the Visitor

Begin typing the visitor's name, phone number, or email address in the search field. The system searches in real-time and displays matching records.

  • If the visitor is found, click their name to select them.
  • If no match is found, click Add New Visitor to create a new record.

Step 2: Select Service Type

Choose the service the visitor is attending from the dropdown menu. Common options include:

  • Sunday Morning Worship
  • Wednesday Night Bible Study
  • Youth Group
  • Small Group

The service type helps categorize attendance and can trigger service-specific follow-up.

Step 3: Complete the Check-in

Click the Check In button to record the visit. The system will:

  • Record the date and time of the visit
  • Update the visitor's total visit count
  • Check if their status should advance (e.g., First-Time to Second-Time)
  • Trigger any automated follow-up sequences
  • Generate a confirmation code if configured

Checking In a Returning Visitor

For visitors who have been recorded before, the process is even faster:

  1. Open the check-in panel.
  2. Search by name or phone number.
  3. Select the visitor when their record appears.
  4. Choose the service type and click Check In.

The visitor's profile, including family members and notes, is displayed for reference.

Group and Family Check-in

When multiple people from the same family or group arrive together:

  1. Check in the primary contact first.
  2. Look for the Check in Others option below their name.
  3. Select additional family members or group participants.
  4. Complete the check-in for all selected individuals at once.
Tip: For high-traffic services, consider setting up a dedicated check-in station with a tablet. This allows visitors to self-check-in or enables a greeter to process multiple visitors quickly.
