Bulk check-in allows you to record attendance for multiple people at once. This is especially useful after a service when you need to enter attendance for a group, class, or event.

When to Use Bulk Check-in

Bulk check-in is ideal for:

  • Small Groups: Enter attendance for an entire small group meeting.
  • Volunteer Teams: Record which volunteers served during a service.
  • Events: Track attendance at special events or conferences.
  • Retroactive Entry: Add attendance from paper cards or sign-in sheets.

Accessing Bulk Check-in

Navigate to Check-in > Bulk Check-in from the main menu, or click Bulk Check-in from the check-in panel.

Step-by-Step Process

Step 1: Select Service Type and Date

At the top of the bulk check-in page, choose:

  • Service Type: The type of gathering (e.g., Sunday Worship, Small Group).
  • Date: The date of the gathering. Defaults to today but can be changed for retroactive entry.

Step 2: Add Attendees

There are several ways to add people to the bulk check-in list:

Search and Add

Type a name or phone number in the search field. When the visitor appears, click to add them to the list. Repeat for each person.

Import from CSV

For large groups, you can import a list of names or email addresses from a CSV file:

  1. Click Import CSV.
  2. Upload your CSV file (must contain name, email, or phone columns).
  3. Map the columns to VisiConnect fields.
  4. Review the matched records and confirm.

Select from Group

If the gathering is a known group (like a small group or ministry team):

  1. Click Select Group.
  2. Choose the group from the dropdown.
  3. Check the boxes next to attendees who were present.

Step 3: Review and Confirm

Before finalizing, review the list of attendees. You can:

  • Remove anyone who was added in error by clicking the X next to their name.
  • Add notes for specific individuals (e.g., "brought a guest").
  • See which people are new visitors vs. returning attendees.

Step 4: Complete Check-in

Click Check In All to record attendance for everyone on the list. The system processes each person individually, updating visit counts, statuses, and triggering any automated follow-up.

Post Check-in Actions

After completing bulk check-in, you can:

  • Print Attendance Roster: Generate a printed list of attendees for your records.
  • Send Group Message: Email or SMS all attendees with a follow-up message.
  • Export Data: Download the attendance data as a CSV file.
Tip: For recurring small groups, save the group as a template. This allows you to quickly select the same group for future bulk check-ins without searching for each member individually.
