The Visitors section of VisiConnect is where you'll view, search, and manage all visitor records. This guide covers the tools and techniques for efficient visitor management.
Visitor List View
Access the full visitor database by navigating to Visitors > All Visitors. The list displays:
- Visitor name (clickable to open full profile)
- Current status (First-Time, Second-Time, Third-Time, Member, Inactive)
- Last visit date
- Total visit count
- Assigned staff member (if any)
- Contact information
Search and Filter
Quickly find specific visitors using the search bar at the top of the list. Search by:
- Name (first, last, or full name)
- Phone number
- Email address
- Partial matches are supported
Use the filter dropdowns to narrow results by:
- Status: Show only visitors at a specific stage
- Date Range: Filter by first visit or last visit dates
- Assigned Staff: View visitors assigned to a particular team member
- Service Type: Filter by the service they attended
Sorting Options
Click any column header to sort the list by that field. Common sorting choices include:
- Last Visit: See who attended most recently
- Visit Count: Identify your most frequent visitors
- Name: Alphabetical ordering
Bulk Actions
Select multiple visitors using the checkboxes on the left, then use the bulk action menu to:
- Assign visitors to a staff member
- Update visitor status
- Send a group email
- Export selected records
Visitor Profile
Click any visitor's name to open their full profile, which includes:
- Complete contact information
- Full visit history with dates and service types
- Family member connections
- Notes and conversation history
- Assigned follow-up tasks
- Email and SMS communication log
Tip: Use the export feature to download visitor data as a CSV file for use in reports or external systems. Access it via the Export button above the visitor list.
