Adding a new visitor to VisiConnect is the first step in building a meaningful connection. This guide covers the complete process, including best practices for collecting and entering visitor information.
Accessing the Add Visitor Form
There are several ways to add a new visitor:
- From the dashboard, click the + New Visitor button in the top-right corner.
- Navigate to Visitors > Add Visitor from the main menu.
- During check-in, if a search returns no results, click Add New Visitor from the check-in panel.
Required Fields
At minimum, you must provide the following information:
- First Name: The visitor's given name.
- Last Name: The visitor's family name.
- Contact Method: At least one way to reach them—phone number or email address.
The system will validate phone numbers and email addresses to ensure they are properly formatted.
Optional Fields
Additional information helps your team provide more personalized follow-up:
- Address: Full mailing address, useful for sending welcome packets or holiday cards.
- Date of Birth: Helps with age-appropriate ministry placement and birthday outreach.
- How They Heard About Us: Track which outreach channels are most effective.
- Notes: Any additional context, such as "looking for a small group" or "has elementary-age children."
- Family Members: Add spouse and children who visited together.
Adding Family Members
When a family visits, it's important to record all members together. After entering the primary contact's information:
- Scroll to the Family Members section.
- Click Add Family Member.
- Select the relationship type (spouse, child, etc.).
- Enter the family member's details.
- Repeat for each additional family member.
Linking family members enables group check-in and ensures follow-up is directed to the appropriate household contact.
Duplicate Detection
VisiConnect automatically checks for potential duplicates when you save a new visitor. If a similar record exists, you'll see a warning with the option to view the existing record instead. This prevents fragmented visitor histories.
