VisiConnect uses role-based permissions to control what each staff member can see and do. Assigning the appropriate role ensures that team members have the access they need while protecting sensitive data.

Available Roles

VisiConnect provides four predefined roles:

Admin

Full access to all features and settings.

Admins can:

  • View, add, edit, and delete all visitor records
  • Manage staff accounts and roles
  • Configure all system settings (email, SMS, service types, etc.)
  • Access all reports and analytics
  • Perform bulk operations and data exports

Best for: Senior pastors, executive pastors, church administrators, IT directors.

Ministry Leader

Full access within their assigned ministry area.

Ministry Leaders can:

  • View and edit visitor records assigned to them or their ministry
  • Check in visitors and create follow-up tasks
  • Manage email and SMS templates for their ministry
  • View reports for their ministry area
  • Add and manage volunteers within their ministry

Best for: Small group pastors, youth pastors, children's directors, outreach coordinators.

Greeter

Limited access focused on check-in and new visitor intake.

Greeters can:

  • Check in visitors and members
  • Add new visitor records
  • View basic visitor information (name, contact, visit history)
  • Cannot edit existing visitor records (except adding notes)
  • Cannot access settings or reports

Best for: Sunday greeters, welcome desk volunteers, ushers.

Viewer

Read-only access to visitor data.

Viewers can:

  • View visitor records and visit history
  • View dashboard and reports
  • Cannot add, edit, or delete any records
  • Cannot perform check-ins

Best for: Board members, denominational supervisors, or anyone who needs visibility without editing capability.

Assigning and Changing Roles

Roles are assigned when inviting a new staff member and can be changed at any time by an admin:

  1. Go to Staff > Manage Staff.
  2. Open the staff member's profile.
  3. Click Edit.
  4. Select the new role from the dropdown.
  5. Click Save.

The role change takes effect immediately.

Best Practice: Start new team members with the most restrictive role that allows them to do their job. You can always grant additional access later if needed. This principle of "least privilege" protects your data and reduces the risk of accidental changes.
