The Staff management section allows administrators to add, edit, and manage user accounts for everyone who needs access to VisiConnect. Proper staff management ensures that the right people have the right level of access.
Accessing Staff Management
Only users with the Admin role can access staff management. Navigate to Staff > Manage Staff from the main menu.
Adding a New Staff Member
- Click + Invite Staff Member in the top-right corner.
- Enter the staff member's information:
- Full name
- Email address (used for login)
- Phone number (optional)
- Role (see Staff Roles for descriptions)
- Optionally assign them to specific ministries or departments.
- Click Send Invitation.
The new staff member receives an email with instructions to set up their account and create a password.
Staff List View
The staff list displays all active users with:
- Name and email address
- Role (Admin, Ministry Leader, Greeter, etc.)
- Last login date
- Number of assigned visitors
- Status (Active or Inactive)
Click on any staff member's name to view their full profile and manage their settings.
Editing Staff Information
To update a staff member's details:
- Open the staff member's profile.
- Click Edit.
- Update the desired fields (name, email, role, etc.).
- Click Save Changes.
Note: Changing someone's role may affect their access to certain features. Review the role permissions before making changes.
Deactivating a Staff Member
When a staff member leaves your organization or no longer needs access:
- Open the staff member's profile.
- Click Actions > Deactivate.
- Confirm the deactivation.
Deactivated staff members:
- Cannot log in to VisiConnect
- Remain in the system for historical records
- Can be reactivated if needed
Reassigning Visitors on Deactivation
When deactivating a staff member who has assigned visitors, you'll be prompted to reassign their visitors to another staff member. This ensures no visitor is left without follow-up coverage.
Resending Invitation
If a staff member didn't receive or lost their invitation email:
- Open the staff member's profile.
- Click Actions > Resend Invitation.
- The invitation email is sent again with a new activation link.
Staff Activity Log
For security and accountability, VisiConnect tracks staff activity. The activity log (accessible to admins) shows:
- Login and logout times
- Visitor records viewed or edited
- Check-ins performed
- Settings changes
