Follow-up tasks are the backbone of effective visitor connection. VisiConnect automatically creates tasks based on visitor activity, ensuring that every visitor receives timely and appropriate attention from your team.

Automatic Task Generation

When a visitor is checked in, VisiConnect generates follow-up tasks based on their status and your configured rules. Common automatic tasks include:

  • First-Time Visitor Call: A personal phone call within 48 hours of the first visit.
  • Welcome Email: An automated email sent immediately after check-in.
  • Second-Visit Follow-up: A task to invite the visitor to a small group or next-steps event.
  • Pastor Outreach: A personalized message from a pastor for third-time visitors.

Viewing Your Tasks

Access your assigned follow-up tasks from several locations:

  • Dashboard: The "Upcoming Tasks" widget shows tasks due today and overdue tasks.
  • Tasks Page: Navigate to Follow-up > My Tasks for a complete list.
  • Visitor Profile: Open a visitor's record to see all tasks associated with them.

Task List View

The task list displays:

  • Visitor name (clickable to open their profile)
  • Task type (e.g., "Phone Call", "Send Email")
  • Due date and time
  • Priority level (High, Normal, Low)
  • Current status (Pending, In Progress, Complete)

Use the filter options to show only overdue tasks, tasks due this week, or tasks of a specific type.

Completing a Task

When you complete a follow-up task:

  1. Open the task from your list or the dashboard.
  2. Review the visitor's information and any notes from previous interactions.
  3. Complete the task (make the call, send the email, etc.).
  4. Click Mark Complete and add a note summarizing the interaction.

Notes are important—they provide context for other team members and create a history of the relationship.

Manual Task Creation

You can also create follow-up tasks manually:

  1. Open the visitor's profile.
  2. Click Add Task.
  3. Select the task type, due date, and priority.
  4. Assign it to yourself or another staff member.
  5. Add any relevant notes or instructions.
Best Practice: Set aside dedicated time each week to work through your follow-up tasks. Many churches find Monday mornings work well for reaching first-time visitors while the weekend is still fresh.

Task Reminders

VisiConnect can send reminder notifications for upcoming and overdue tasks. Configure your notification preferences in Settings > Account to receive email or in-app alerts.
