Assigning visitors to specific staff members ensures personalized, consistent follow-up. When a visitor knows who to connect with, they're more likely to engage and return.
Why Assign Visitors?
Visitor-staff assignments create accountability and build relationships. Benefits include:
- Personal Connection: The visitor has a specific person to reach out to with questions.
- Clear Accountability: Staff members know exactly which visitors they're responsible for following up with.
- Contextual Follow-up: Staff can reference previous conversations and build on the relationship over time.
- Ministry Matching: Visitors can be assigned to staff who lead relevant ministries (e.g., youth pastor for families with teens).
Automatic Assignment Rules
VisiConnect can automatically assign visitors to staff based on configurable rules. Navigate to Settings > Assignment Rules to set up automation:
Geographic Assignment
Assign visitors based on their address or zip code. This works well for churches with multiple campuses or regions:
- Visitors from the north side of town are assigned to the north campus pastor.
- Visitors from specific zip codes go to the staff member covering that area.
Ministry-Based Assignment
Route visitors to staff based on their interests or demographics:
- Families with children are assigned to the children's ministry director.
- Young adults go to the college and career minister.
- Seniors are assigned to the senior adult ministry leader.
Round-Robin Assignment
Distribute visitors evenly among a team of staff members. This ensures balanced workloads and is ideal for greeter teams or connection groups.
Manual Assignment
You can also assign visitors manually:
From the Visitor Profile
- Open the visitor's profile page.
- Click the Assigned Staff field in the sidebar.
- Select a staff member from the dropdown.
- Optionally add a note explaining the assignment.
- Click Save.
Bulk Assignment
- Go to Visitors > All Visitors.
- Use filters to find the visitors you want to assign (e.g., "unassigned first-time visitors").
- Check the boxes next to the visitors.
- Click Bulk Actions > Assign Staff.
- Select the staff member and confirm.
Reassigning Visitors
Staff changes happen—people transition roles, go on vacation, or leave the organization. To reassign visitors:
- Open Staff > Manage Staff.
- Find the staff member whose visitors need to be reassigned.
- Click Reassign Visitors.
- Select the new staff member.
- Choose whether to include active tasks in the reassignment.
- Confirm the change.
All assigned visitors and their open tasks are transferred to the new staff member.
Staff Notifications
When a visitor is assigned to a staff member, they receive a notification (if enabled in their account settings). The notification includes:
- The visitor's name and contact information
- Their current status (first-time, second-time, etc.)
- Any pending tasks
- Relevant notes from previous interactions
