Visitor status is a key indicator of where someone is in their connection journey with your church. VisiConnect uses status to trigger appropriate follow-up actions and communications.
Automatic Status Progression
By default, visitor status advances automatically based on the number of recorded visits:
| Status | Trigger | Typical Follow-up |
|---|---|---|
| First-Time Visitor | First check-in | Welcome email, personal call within 48 hours |
| Second-Time Visitor | Second check-in | Return visitor message, small group invitation |
| Third-Time Visitor | Third check-in | Membership class invitation, pastor outreach |
| Member | Manual update | Member onboarding, ministry placement |
| Inactive | 90 days without a visit | Re-engagement campaign or archival |
Manual Status Override
There are situations where automatic status doesn't fit. You can manually override a visitor's status by editing their profile. Examples include:
- Former Members: Someone who was once a member but is now visiting another church may need a custom status.
- Transferring Members: A person joining from another church may skip directly to Member status.
- Special Cases: Staff, board members, or volunteers who should not receive visitor follow-up.
Status and Automated Sequences
Each status is connected to automated follow-up sequences. When a visitor's status changes, the appropriate sequence is triggered:
- First-Time: Triggers the "New Visitor" email sequence.
- Second-Time: Triggers the "Welcome Back" sequence.
- Third-Time: Triggers the "Next Steps" sequence.
You can customize these sequences in Settings > Follow-up.
Filtering by Status
The visitor list can be filtered by status, making it easy to:
- View all first-time visitors for the current week
- Identify second-time visitors who need a personal call
- Generate reports on visitor-to-member conversion rates
Tip: Review your visitor statuses weekly during your connection team meeting. Focus especially on second-time visitors, as this is the most critical point for building lasting connections.
